How to create and download your freelance invoice

  1. Select your currency and fill in your freelance business details and your client's contact information.
  2. Add your billable line items: set descriptions, hours or quantities, and agreed rates. Add any optional discount or sales tax / VAT.
  3. Include clear payment details: your bank routing/account numbers, IBAN, BSB or payment links, along with due dates.

How the invoice total is calculated

Line Item Total = Quantity × Unit Rate Subtotal = Sum of all Line Items Discount Amount = Subtotal × (Discount % ÷ 100) Taxable Amount = Subtotal − Discount Amount Tax (VAT / GST) = Taxable Amount × (Tax % ÷ 100) Total Amount Due = Taxable Amount + Tax

Worked example

Sarah Chen completed a brand identity project for $2,500, 25 hours of UI design at $85/hour ($2,125), and design system guidelines for $750. Her subtotal was $5,375.00. Sarah gave a 5% repeat client discount ($268.75), reducing the taxable amount to $5,106.25. With 0% sales tax applied, her total invoice due was $5,106.25.

Frequently asked questions

Are my client invoices saved or stored online?

No. Your invoice is created and turned into a PDF entirely inside your web browser. Your details, your client's details, bank details and amounts are never sent to us. Once you close the page, the information is gone unless you click Save draft to download a backup file to your own computer.

Can I add VAT, GST, or local sales tax?

Yes. Enter the tax rate that applies to your invoice in the Tax % box. The generator applies it after any discount and shows it as a separate line on the PDF. Whether you must charge tax, and at what rate, depends on your country, your registration and your client, so check with your tax authority or an accountant. What payment terms should freelancers include?

Many freelancers use "Net 14" (due within 14 days) or "Net 30" (due within 30 days), but agree the terms with your client before you start work. A clear due date and clear payment instructions on the invoice make it easier for clients to pay on time. Can I re-open and edit a previous invoice later?
